How to analyze roles and authorizations in the SAP system
Extend permission checks for documents in FI
The background to the mass presence of authorization objects in a PFCG role after a role menu has been created is usually the mass of generic OP links that are not actually necessary for the CRMBusiness role. The existence of proposed values from the transaction SU24 loads the proposed authorisation values associated with the respective external services into the PFCG role, which results in too many unnecessary authorization objects being placed there. By excluding the GENERIC_OP_LINKS folder, you only need to take care of the external services and their authorization objects configured in the CRM business role in your PFCG role. For a user to have all the necessary permissions, you now assign the basic role with the permissions to the generic operating links and the actual role that describes the user's desktop.

The authorisation concept in SAP ERP does not normally allow to limit permissions to individual financial years. However, this is particularly relevant for tax audits. As of 1 January 2002, the electronic tax audit was enshrined in law in § 147 (6) of the German Tax Code. The opinion of the Finance Administration is in the BMF letter of 16.07.2001 (BStBl. 2001 I)"Principles on data access and the verifiability of digital documents"(GDPdU). The electronic control check can be performed in Germany on three types of access: Immediate access: The tax authority shall have the right to inspect the stored data (read-only access) and to use the taxpayer's hardware and software to verify the data, including the master data and links. Mean Access: The tax authority may require the taxable person to perform the read-only processing of the data in accordance with its specifications. Volume Release: Alternatively, the tax administration may require the taxable person to have the stored documents available to it for evaluation on a machine-usable medium.
Security within the development system
In these cases, the total permissions from the RFC_SYSID, RFC_CLIENT, and RFC_USER fields will not be applied. However, you will always see a system message. These constraints cannot be changed by the settings of the customising switch ADD_S_RFCACL in the table PRGN_CUST.

Standard permissions required for a functionally fully descriptive role should be maintained accordingly. It is recommended to disable and not delete unneeded permissions, or even entire permission branches. Permissions that have been set to Inactive status are not reinstated as new permissions in the permission tree when they are reshuffled, and those permissions are not included in the profile generation process, and thus are not assigned to a role in the underlying profile.

However, if your Identity Management system is currently not available or the approval path is interrupted, you can still assign urgently needed authorizations with "Shortcut for SAP systems".

Depending on the transaction invoked, the application can be more granular checked by this additional permission check.

The website www.sap-corner.de offers a lot of useful information about SAP authorizations.

For this reason, the implementation of a comprehensive authorization concept should be considered as early as possible in the project phase, as several components are intertwined here.
